Rental invoices. A higher standard.

Start with a free manual audit of three months of rental invoices. We confirm what to send, review the documents, and share discrepancies with the records that support them.

1. Tell us about your invoices.

Use the free audit request form to send your work email and company name. You can also tell us roughly how many rental invoices you receive each month and which rental houses you use.

The initial form does not upload invoices. We reply within one business day to confirm what to send and arrange the next step. No charge, no obligation.

2. Gather the supporting documents.

Invoices are the starting point. The supporting records determine which checks can be completed:

  • Rental agreements and amendments that establish billing terms and fees.
  • Rate sheets showing the daily, weekly and four-week prices agreed for the equipment.
  • Off-rent confirmations and pickup tickets with dates and equipment references.
  • Credit notes or return records relevant to charges you want reviewed.

You can redact commercially sensitive information. Keep the dates, rates, amounts and references needed to connect the records. If a required document is missing, we ask for clarification rather than treating an unsupported difference as an overcharge.

3. Match the records and check the charges.

We connect each rental to its agreement, rates and dated records. Checks compare the billed amounts and periods with the supporting documents, including rate tiers, off-rent dates, waiver authorization and agreed fees.

Document extraction helps organize the information. The checks themselves use calculations against the recorded terms, with a person reviewing findings before they are shared. See the full list of rental invoice checks.

4. Review the findings and decide what to dispute.

Most audits come back within a week. Results show the potential discrepancy, the calculation and the source pages, so your team can assess each finding.

For discrepancies you choose to dispute, a vendor packet can include a PDF summary, CSV and draft email with evidence references. A flagged amount is not a recovered credit; the vendor response and any recovery are tracked separately.
